Checklists: a routine, line by line, with proof on each.

A task is one piece of work. A checklist is a routine: the same lines, on the same days, filled by whoever is on that shift. Each line asks for its own proof. This lesson builds one, runs it and reviews it.

Step by step

The steps, on the real screens.

  1. Open Checklists. Press “New checklist”. To begin from a written one instead, press “Pick from Library”.
  2. Fill Name and, as the owner, Branch. A manager’s checklist always belongs to their own branch.
  3. Choose “Who fills it”. Either “A named person” or “Whoever is on a shift”. For a shift, fill Shift and also pick a Person: the checklist goes to that person when nobody is on the shift.
  4. Choose “When it runs”. “Only when started”, “Every day”, or “Every week, on chosen days”. Set “Due at (India time)”.
  5. Write the lines. For each line type the words under “What to check”, choose the proof (Tick, Number, Photo, File, Text or Pick one) and tick “Must do” if it cannot be skipped. A Number line shows “Lowest allowed”, “Highest allowed” and Unit. Press “Add a line” for the next one.
  6. Decide on the Problem switch, then save. Tick “If a line fails, raise a Problem by itself” if you want that. Press “Save checklist”.
  7. Start a run. Press “Start a run now”, choose “Who fills it” and a due time if you want one, and press “Start and get the link”. Share the link from the run page. A scheduled run is made one hour before its time, and a note tells the manager it is ready to share.
  8. Review it. Open “Today’s runs”. The cards count Runs, Done, Needs review, Waiting and Missed. Open a run under “Needs review”, read each line as Pass, Fail or “Left out”, and press “Mark as checked”.

Common mistakes

Four habits that make a checklist useless.

A photo on every line. The list takes too long and people rush it. Keep a tick where a tick is enough.
A Number line with no limits. A number fails only when it is outside its limit. With no limit set, nothing is ever marked.
Expecting problems from a Library list. A list added from the Library starts with the Problem switch off. Open it and press Edit to switch it on.
Leaving a run under “Needs review”. A failed line waits for a person. Open the run and mark it as checked, with a note on what was done.

Questions about checklists

Six: Tick, Number, Photo, File, Text and Pick one. A Number line can have a lowest and a highest allowed value and a unit.
A number outside its limit, or a must-do line left out. A failed line puts the run under “Needs review” until a manager marks it as checked.
If you keep a roster, whoever is on that shift that day; people on leave or on a weekly off are left out. If you do not, a person whose shift in Team has that name. If nobody is on the shift, it goes to the person named on the checklist.
Yes. The owner can press “Copy to other branches”. Each copy belongs to its branch and can be changed there.
