Proof and approval: what comes back, and who says yes.

Work is not done because someone said so. The person sends proof from their link, fixed checks run on it, and a manager approves it or sends it back. This lesson follows one piece of work through both screens.

Step by step

The steps, on the real screens.

  1. The staff member opens the link. The first time, a page headed “Before you start” lists in four lines what is kept. They tap “I understand, continue”.
  2. They see the work page. It shows the work, the due time, and one control for each proof asked: the tick lines, a number box, “Paste the link”, “Take a photo” or “Add the file”. There is also “Note for your manager (if you want)”.
  3. They tap “Work is done”. If they are stuck, they tap “Report a problem” instead. After sending, the page says “Your work is sent.”
  4. Open Approvals. The heading says how many proofs are waiting. Each card shows the work, the person, the branch, when it was due and when it was sent, with the photo, file, link or number.
  5. Read the checks. Each one is marked Pass or Fail: whether a photo or file is attached, whether it was submitted before the due time, whether the number is within its limits, how many lines were ticked.
  6. Press Approve. The work becomes done. If it was sent after the due time, the message reads “Approved. Counted as done late.”
  7. Or press “Send back”. Fill “What should be redone?” and press “Send back”. A message for the person is shown next; share it. The same link opens again for them with your note at the top.
  8. If a check failed, use “Raise a problem”. This third button appears on a card with a failed check, and opens the problem form with that check as the title.
Sign-up is not open yet. These steps follow the screens as they are built today, and a label may change before launch.

Common mistakes

Four misreadings of this screen.

Waiting for the work to approve itself. Nothing is approved by itself. The checks only inform the person who decides.
Reading Fail as rejected. A Fail is a fact, such as “sent after the due time”. You still choose Approve or “Send back”.
Sending back and closing the message. If you do not share the note, the person does not know the work came back.
Asking for every kind of proof. Each proof is one more thing to do on a phone. Ask for the one that shows the work happened.

Questions about proof

A photo, a file, a link, a number with a lowest and highest allowed value, and tick lines. You can ask for more than one, or for none: then the person only taps “Work is done”.
A photo, or a PDF, Word, Excel or PowerPoint file, up to 8 MB each.
No. Pass and Fail are fixed checks: a file is attached, it was sent before the due time, the number is within its limits. A manager presses Approve or Send back.
The same link opens again, with your note at the top saying what to redo. You share that note from your own number.
