Branches and roles: who sees what.

Task Bundals has three roles and they are easy to keep apart. The owner sees every branch. A manager logs in and sees one branch. Staff do not log in at all: each link they get opens one piece of work.

The steps, on the real screens.

  1. Open Team. The People table shows each person’s Role as Owner, Manager or Staff, with their Branch beside it. The owner’s branch reads “All”.
  2. Open Branches. Each branch is a card with its city and its number of people. The line under the cards reads: “A manager sees only their own branch. The owner sees every branch.”
  3. Make a manager. In People, press Change on the person, set Role to Manager, choose the Branch, and fill the email and the password they will log in with. Press Save.
  4. See what the manager sees. When they log in, the home screen shows “My branch” with one card. Tasks, Approvals, Problems and Team list only that branch.
  5. Look at one branch as the owner. On Today and on Problems, the picker at the top starts at “All branches”. Choose a branch to narrow the screen.
  6. Open a branch from the home screen. The branch page shows today’s percent, the week’s percent, and cards for Tasks, Approvals and Problems, with “Still open today” and People below.
  7. Know the owner-only parts. “Add a branch”, saving the “Reminder rules”, and the “Edit log”, which lists every change with Before and After. Rows in that log can only be added.

Common mistakes

Four mix-ups about roles.

Making everyone a manager. A person who only does the work needs no log in. Staff is the right role.
Two people sharing one log in. The trail of each task records who shared and who approved by name. Shared log ins make that record wrong.
Asking a manager to move someone to another branch. A manager can add and change staff in their own branch only. The owner sets Role and Branch.
Worrying that staff can browse. A staff link opens only the one piece of work it was made for.
